The Operations Coordinator is a multi-functional role that supports administrative duties as well as operational and communications responsibilities. The team member in this role will be responsible for providing support to the Director of Operations, social media monitoring, data entry and research, event coordinating, grant program and fiscal reporting, and scheduling. EPIC is a highly respected entity in the business community and within the early care and education ecosystem, and professionalism is of the utmost importance. The Operations Coordinator is expected to be responsive, reliable, and adept at multi-tasking while handling frequent correspondence with high level business leaders and the management of confidential information with care. Essential Job Functions:
Operations:
· Maintain EPIC’s professional image through effective telephone, electronic, and mail communications, both internally and externally.
· Coordinate and support membership processes including data entry, billing, and renewals.
· Track and update data related to member contact, recruitment, and reporting by maintaining CRM database.
· Assist Director of Operations with daily administrative and financial tasks such as record keeping, time tracking, and ongoing financial related tasks.
· Assist EPIC President and CEO with scheduling, special projects, and requests.
· Assist with grant program management and reporting.
· Assist with drafting and editing correspondence, memos, and research summaries.
· Assist with ongoing operational, administrative, and human resource tasks such as travel planning and expense management, staff on-boarding, and tech and systems resources for training and support.
· Assist the Board, and staff with miscellaneous projects as requested, organize, and prepare presentation materials and resources for diverse stakeholder groups, including internal and external audiences.
· Assist with securing locations and preparing documents for Board Meetings, conferences, and other meetings hosted by EPIC.
· Track and order office supplies.
Social Media/Communications and Events:
· Maintain and complete basic website updates and content.
· Research and contribute recommendations for program content development.
· Assist in the development/implementation of social media strategy and content to increase online presence as appropriate with strong alignment to EPIC mission and vision.
· Coordinate EPIC’s social media accounts and social media content calendar with internal team and media consultants to ensure posts are accurate, engaging, and relevant.
· Stay up to date with the latest social media best practices and technologies.
· Assist Director of Membership and Communications in coordination and execution of EPIC events and membership retention efforts.
· Coordinate mailings, logistics, and special event communications associated with the organization’s fundraising and membership activities.
· Maintain awareness of the early childhood landscape and ways in which the business sector can be engaged as early childhood advocates in rural and urban communities.
Required Attributes/Prerequisites:
· Exceptional attention to detail and organizational skills, with a strong natural inclination for process development
· Exceptional ability to communicate in a clear and professional manner (oral and written)
· Equivalent experience in a similar role for 2 – 3 years preferred
· Familiarity with the early childhood sector preferred
· Proficiency and high comfort level with software including Microsoft Office 365 (Word, Excel, PowerPoint, SharePoint), Google Docs, and Constant Contact
· Strong familiarity with technology systems and social media
· Self-motivated with a commitment to continuous improvement and excellence
· Strong interpersonal relationship skills and cultural competence
· Demonstrated ability to multi-task, work autonomously, and meet deadlines
· Reside in Colorado and able to travel to EPIC’s downtown office on a weekly basis for in-office days
· May be requested to lift materials of up to 35 lbs
